How do I make sure that we're getting the most out of Governors Virtual Office?

The best way is to ask one of our Consultants to work with you and your Governors on a regular basis:

Initial Assessment

We'll talk with you to understand how long you've been using Governors Virtual Office; to understand what you think is working well and what isn't; and to get a sense of where you think there are opportunities to improve the effectiveness of the Governing Body. Based on that we'll agree a coaching plan with you.

Telephone-based Coaching.

For three months we will make regular contact with you by phone - about once a month - to see how you are getting on and to offer advice and encouragement. Based on our experience we can quickly judge how well your Governing Body is adapting to the new way of working and we will feed that back to you.

Team Tune Meeting

After three months we will chair a conference call with you to review progress against your deployment plan and make further recommendations on getting the most out of your Governors Virtual Office.

How do I learn how to use the different features in Governors Virtual Office?

We can offer you a range of training options that will get you and your colleagues on the Governing Body familiar and confident in using Governors Virtual Office:

Self Paced Learning

You can download Training Scripts from this website in the Downloads section. They will take you, in a structured way, through the different features of the website. They are available for you to use at a time that is convenient to you.

On-line training

We can arrange to provide you an on-line training session. We'll send you login details to our secure meeting site and telephone conference facility. When you log in to the site we can demonstrate the system for you wherever you are. You can even train Governors who are in different places at the same time. This method works well for up to 4 people at a time. An online training session is included as part of your subscription for new schools. For subsequent sessions we make a charge of £195.

On-site training

If you wish we can send one of our Consultants to your school to the training for you in person - perhaps before or during a scheduled meeting of the Governing Body. We can show you how to use the different features in the system and talk to you about strategies for more effective on-line collaboration.

How do I renew my subscription?

We will automatically send you an invoice to renew your subscription approximately 6 weeks before your current subscription expires. If you wish to renew earlier than this, or if you haven't yet received your subscription renewal and it's less than 6 weeks to the end of your current subscription please contact us:

Is the data stored on Governors Virtual Office secure?

We take great care to look after your data.

All data within Governors' Virtual Office (GVO) including user profiles, database and collection metadata, are stored in a dedicated MongoDB 'instance' which resides within MongoDB Atlas, a “database as a service” (DBaaS) offering from the makers of MongoDB. This store is encrypted and located in a UK data centre. The instance of MongoDB Atlas used for GVO is hosted and managed by MongoDB using an Amazon Web Services (AWS) data centre located in the EU (London). All MongoDB Atlas connections are encrypted with TLS, and MongoDB cluster-mates communicate within the data centre via a Virtual Private Cloud (VPC) for additional security.

The production instance of the GVO web application is hosted and managed by Heroku, using a European data centre. For GVO, Heroku only hosts the application; all data and metadata are located in MongoDB Atlas (see above). Heroku uses AWS for additional hosting services and sub-processing. All production and development instances in Heroku are physically separate. The GVO platform is hosted on AWS in an EU data centre (Ireland).

We maintain a watching brief on new security technologies and will adopt the best industry practice when protecting your data.

The addition and deletion of users is usually controlled by the Clerk to the Governors and changes are instantaneous so that you can keep an up to date list of authorised users. Individual Governors have their own User Name and password.

What should I do if I've forgotten my password?

If you forget your password please contact your Clerk who maintains a list of User ID's for your Governing Body and can reset your password.

What should I do if the system does not recognise my User ID?

If you have problems logging on to the system please contact your Clerk who will be able to confirm that you are using the correct User ID and password. If you have checked that you are using the correct log in details and you are still having problems please contact our support team on 0844 800 6422.

What should I do if I wish to cancel my subscription?

If you do not wish to continue to use Governors Virtual Office you can cancel your subscription from the end of the current subscription period. To do this you must write to us at least 30 days before the end of your subscription period informing us of your decision and you must desist from using your Governors Virtual Office at the end of the current subscription period. If you do use the service after the end of the current subscription period you will be deemed to have renewed your subscription and you will be charged a further year's subscription.

Security, Privacy, and GDPR

All Amazon Web Service offerings are “GDPR ready” meaning that the service maintains a number of security certifications and permits operations that facilitate data security and privacy. Specific certifications held by AWS include:

  • ISO 27001 for technical measures
  • ISO 27017 for cloud security
  • ISO 27018 for cloud privacy
  • SOC 1, SOC 2 and SOC 3
  • PCI DSS Level 1
  • EU-specific certifications such as BSI’s Common Cloud Computing Controls Catalogue (C5)

Heroku holds a TRUSTe Certification

MongoDB Atlas infrastructure runs on AWS for GVO and, in addition to the AWS certifications, MongoDB also hold a SOC 2 Type 1 report as of May 31st, 2017.

Responsibility for data within GVO

While School Leadership Systems Limited is responsible for the security of personal data whilst it is stored in your GVO, and is responsible for the procedures used by its staff if they are required to handle personal data, you are responsible for the content of your Governors' Virtual Office as described in Paragraph 4 of our standard Terms and conditions which can be inspected here.The addition and deletion of users is usually controlled by the Clerk to the Governors and changes are instantaneous so that you can keep an up to date list of authorised users. Individual Governors have their own User Name and password.

GDPR requires that there be a contractual agreement that a processor will process data in accordance with the Regulation. Accordingly, clause 16 of our standard terms and conditions has been amended (effective 16th May 2018).
